At Hannah Medicine Woman, I am committed to creating a respectful, compassionate, and professional healing space for all clients.
If you ever have a concern or feel unsatisfied with your experience, please follow the process below:

Raise your concern informally
Please reach out directly as soon as possible so that we can talk openly and seek to resolve the issue in a fair and understanding way. -
Submit a formal grievance
If your concern is not resolved informally, you may submit a written grievance via email to hannah.medicinewoman@hotmail.com

Response and resolution
I aim to acknowledge all grievances within 5 working days and provide a full response within 14 working days.
If further investigation is needed, you’ll be kept informed throughout. -
Escalation
If you remain unsatisfied, you may refer your concern to a relevant professional body or seek independent mediation.
All grievances are handled sensitively, fairly, and in confidence.

Cancellation Policy
Appointments are made especially for you, and I deeply value your time as well as my own.
To ensure fairness and flow for everyone:

Cancellations or rescheduling must be made at least 48 hours in advance of your appointment.

Cancellations made with less than 48 hours’ notice will incur a 50% cancellation fee.

No-shows or cancellations made on the day of the appointment will be charged in full.

If, for any reason, I need to reschedule or cancel your appointment, you will be offered an alternative time or a full refund.
Your understanding supports a balanced and respectful practice for all clients.

Refund Policy
All sessions, treatments, and offerings are shared with care and integrity.
Please note:

Refunds are not normally issued for completed services.

If you are unhappy with your experience, please contact me within 7 days of your session so that we can discuss the issue and find a compassionate resolution.

For prepaid sessions, courses, or packages:

If cancelled more than 48 hours before the first session, a full refund will be given.

If cancelled within 48 hours, a 50% refund will be issued.

Once the first session has begun, no refunds are available except in exceptional circumstances, at my discretion.

Treatment Terms & Conditions
These policies are in place to ensure your experience is safe, respectful, and deeply supportive, while honouring the time, care, and space held for each session.

Illness - If you experience any signs of illness within 48 hours of your appointment, please do not attend. Your session can be rescheduled under the same terms outlined above. This helps protect your wellbeing, the wellbeing of others, and the integrity of the space.

Pregnancy Policy - For clarity and safety, massage treatments are not offered to pregnant clients. Please ensure pregnancy is disclosed at the time of booking.

Health Information & Intake Form - Completion of a client intake form is required prior to your session. This allows me to understand your health history, body needs, allergies, injuries, or any potential contraindications. If the form is not completed in a timely manner, I’m unable to secure your booking. All information is treated with strict confidentiality.

Consent, Boundaries & Collaboration - All sessions are strictly therapeutic and take place within clear, respectful boundaries. Your comfort, consent, and sense of agency are central to the work. You are warmly encouraged to advocate for yourself throughout the session — you may request changes in pressure, ask to pause, stop, or discontinue the treatment at any time, and communicate any discomfort or sensitivity.

I view each session as a collaborative experience, shaped by your needs and feedback, rather than something being “done to” you.

Any inappropriate behaviour or breach of boundaries will result in the immediate termination of the session, with no refund.

Personal Belongings & Jewellery - Treatments take place in a private room, and your personal belongings remain with you throughout the session. You may be asked to remove certain jewellery to allow safe and comfortable access to the body. A dish or tray will be provided so items can be kept safely nearby. While every care is taken, responsibility for personal belongings remains with the client.
Loyalty Card Terms & Conditions -
The loyalty card is offered as a thank-you for your continued trust and commitment to your wellbeing.

Each massage received entitles you to one stamp on your loyalty card. Once five stamps have been collected, you may redeem your sixth massage at 60% off the standard treatment price.

The loyalty card:

Is valid for full-price massage treatments only

Cannot be used in conjunction with any other offers, promotions, or discounts

Is non-transferable and intended for use by the named cardholder only

Has no cash value and cannot be exchanged for money

Discounted or promotional sessions (including pop-up events, special offers, or gift vouchers) are eligible for a stamp unless otherwise stated, but the redeemed discounted massage must be taken as a standalone booking at the standard rate.

Lost or forgotten cards cannot be replaced or retrospectively stamped. The loyalty card must be presented at the time of your appointment to be redeemed.

I reserve the right to amend or withdraw the loyalty scheme at any time, with reasonable notice.

All prices and offerings are subject to change, though you will always be informed prior to booking.
Health & Safety Policy

All treatments are conducted in a clean and peaceful environment, following current UK hygiene standards.

All tools, linens, and equipment are sanitised between sessions.
